    Best Price Guarantee Terms & Conditions

    Valley Lodge & Spa will make available the best guest room \ price for the hotel (the "Best Price Guarantee"). " Valley Lodge & Spa Website" are the websites owned or operated by or on behalf of Valley Lodge & Spa bearing the logo and branding of Valley Lodge & Spa.

    In the unlikely event that a lower price at Valley Lodge & Spa is made available on a non-Valley Lodge & Spa website (the "Competing Price"), upon its receipt of a claim that satisfies these Best Price Guarantee terms and conditions (the "BPG Terms"), Valley Lodge & Spa will honor that Competing Price and provide the individual that submitted the valid claim one of the following: (1) an additional 10% discount off the Competing Price per room per night; or (2) a voucher that the guest can use during their stay, the amount of the voucher will be equal to the difference between the original reservation rate and the competing price.

    Terms and Conditions

    • For a claim to be eligible under the Best Price Guarantee:
      • The claim must be submitted prior to, or within 24 hours after, making a reservation through a Valley Lodge & Spa Website, and at least 24 hours before the standard check-in time at Valley Lodge & Spa.
      • The claim must include:
        • Booking Confirmation Number
        • Full Name on the reservation
        • Lower rate found (with currency)
        • Room type/ Rate plan (i.e Deluxe Room with Buffet Breakfast)
        • Url of the website where the lower price was found
        • Reservation date
        • Stay dates
      • A claim may be rejected by Valley Lodge & Spa if it is incomplete or concerns a non-Valley Lodge & Spa website.

      PLEASE NOTE: You don't need to make a booking on the competitor website, just email the complete details of your claim to reservations@directwithhotels.com. We will get in touch with you within 48 hours from the receipt of the claim to verify its validity.

    • For the Competing Price to be valid, it must be a currently available lower published online room price for Valley Lodge & Spa, the same stay dates, the same number of guests, the same room type, with a similar view and room size, and include similar or additional value-added amenities (e.g., free breakfast).
      • Valley Lodge & Spa will compare the total room cost of a stay, and multiple claims for a stay consisting of two or more nights in the same week at the same Valley Lodge & Spa.
      • Valley Lodge & Spa will convert any Competing Price offered in a different currency than the price made available through the Valley Lodge & Spa Website, and may deny claims where it determines that the difference between the price is due to exchange rate fluctuations.
      • Taxes, Surcharges, Booking fees, extra adult fees, fees for children, rollaway charges will be included in the price comparison.
      • The estimated value of value-added amenities (e.g.,free breakfast, use of Wifi, vouchers) offered as part of a Competing Price will be excluded from the price comparison, and will not be provided by Valley Lodge & Spa when honoring a lower price.
      • Valley Lodge & Spa may deny claims where the difference between the Competing Price and the price on the Valley Lodge & Spa Website is less than one percent.
    • The Best Price Guarantee does not apply to:
      • Unpublished or negotiated prices (e.g., corporate discount rates, group rates, meeting rates);
      • Rates requiring membership in a club or other organization, offered pursuant to direct mail or email solicitations, requiring discount codes or coupons, or otherwise not intended for the general public;
      • Package prices (e.g., prices that include a combination of a room and airfare, an overnight cruise, car rental);
      • Prices offered by opaque providers (e.g., Hotwire, Priceline) that do not provide the name or location of the hotel until after a reservation has been made; and
      • Prices offered on on-request websites that do not provide immediate hotel confirmations (e.g., Asiaweb).
    • The Best Price Guarantee does not apply to existing reservations that are not booked through a Valley Lodge & Spa Website, and Valley Lodge & Spa is not responsible for any fees associated with cancelling a reservation made through a different channel (e.g., a call center, a non-Valley Lodge & Spa website).
    • If a valid Best Price Guarantee claim is submitted without an existing reservation, the individual making the valid claim will be contacted by Valley Lodge & Spa and must make a reservation in the manner communicated by Valley Lodge & Spa within 24 hours from receipt of the communication or local check-in time at Valley Lodge & Spa Hotel. Failure to make a reservation in the required time period will invalidate the claim.
    • The Best Price Guarantee will be suspended during times where the Valley Lodge & Spa Websites or certain prices are not available due to an outage, a technical issue or a circumstance beyond Valley Lodge & Spa\'s reasonable control.
    • A Best Price Guarantee reward will only be provided if the individual making the valid claim stays in the reserved guest room.
    • Valley Lodge & Spa has the sole right and discretion to determine the validity of any claim and will not review documentation provided by the individual submitting a claim as part of its validation process. Valley Lodge & Spa reserves the right to deny a claim, if it cannot independently verify the availability of a Competing Price at the time it processes the claim.
    • Valley Lodge & Spa may at any time and without notice terminate or restrict a person\'s ability to submit a claim under or otherwise benefit from the Best Price Guarantee, if in its sole discretion Valley Lodge & Spa determines that such person has: (1) acted in a manner inconsistent with applicable laws or ordinances; (2) acted in a fraudulent or abusive manner, (3) submitted multiple invalid Best Price Guarantee claims; (4) failed to stay at Valley Lodge & Spa Hotels after receiving approved Best Price Guarantee Claims; or (5) breached any of these BPG Terms.
    • Any disputes arising out of or related to the Best Price Guarantee or these BPG Terms shall be handled individually without any class action, and shall be governed by, construed and enforced in accordance with the laws of Valley Lodge & Spa.
    • Void where prohibited by law. Valley Lodge & Spa reserves the right to amend, revise, supplement, suspend or discontinue the Best Price Guarantee or these BPG Terms at anytime in its sole discretion and without prior notice.
  • Valley Lodge & Spa – Privacy Policy

    At Valley Lodge & Spa, we stress the importance of privacy and are committed to earning the trust of our guests by adopting high standards for the protection of personal information.
    Our policy outlines the type of personal information we collect and receive, the circumstances in which we collect or receive personal information, the policies and procedures we have established outlining its use and storage, and for sharing certain types of personal information in certain limited circumstances, the procedures you should follow if you have any questions or requests in respect of your personal information or our policies and procedures and the person to whom such questions or requests should be directed, and the means by which to communicate with that person.

    In this policy ‘The Hotel” means Valley Lodge & Spa, and its affiliated companies, as they may exist from time to time. The words ‘we’ and ‘Valley Lodge & Spa’ do not include third party hotel owners or third parties involved in the delivery of services, however we have requested such hotel owners and third party suppliers to abide by the terms of our Privacy Protection Policy.
    In this policy, personal information means information about you that is personally identifiable like your name, address, e-mail address or phone number, and that is not otherwise publicly available and is not part of your work identification.

    It also includes information on guest preferences and usage, when such information is supplied to or recorded by the Hotel in the course of transacting business with an individual.How you may provide us your personal information?

    1. When making an ‘Enquiry for an event’.
    2. When making a ‘Hotel reservation’.
    3. When leaving a message with the telephone operator
    4. By providing it to us in communications regarding service delivery such as comment cards, guest feedback forms and online reputation management services.
    5. By providing the information to us by participating in a marketing initiative.
    6. By visiting our website or social media pages.

    Below we will outline the type of information normally collected in each of these circumstances, the reasons for doing so, how we will use it and store it. Why we collect personal information?

    1. To establish and maintain a responsible relationship with you and to provide ongoing service.
    2. To understand your needs and preferences. We maintain a record of the products and services you receive from us and we may ask for additional information so that we can serve you better.

    When do we disclose personal information? We disclose personal information only in these limited circumstances:

    1. We may disclose a guest’s personal information to a person who, in the reasonable judgment of the, is seeking the information as an agent of the guest – for example, a travel agent who is booking a reservation on behalf of the guest.
    2. Personal information will be shared with a third party involved in supplying the guest with the services they have purchased to the extent necessary to affect the supply and the processing of the transaction.
    3. Personal information may be shared with a third party retained by the Hotel to perform functions on its behalf such as reservations handling, data processing or storage, guest surveys or research.
    4. Personal information may be shared with a public authority or an agent of public authority if in the reasonable judgment of the Hotel it appears that there is an imminent danger to life or property which could be avoided or minimized by disclosure of the information, or which disclosure is compelled by legal authority.
    5. Any such disclosure of a guest’s personal information by the Hotel to a third party will be made only on a confidential basis conditioned upon the information being used only for the purpose for which it has been disclosed.

    Principles

    1. The Hotel will not collect, use or disclose your personal information for any other purpose than those identified above, except with your consent.
    2. The Hotel will protect your personal information with appropriate security safeguards.
    3. The Hotel will take appropriate steps to protect the confidentiality of your personal information when dealing with third parties.
    4. The Hotel will strive to keep your personal information as accurate and up to date as is necessary for the purposes identified above.
    5. The Hotel will honour your request to access your personal information in as timely fashion as is reasonably possible.
    6. You are always free to refuse to provide personal information to us.
    7. You may also withdraw your consent with respect to the use of your personal information for marketing purposes at any time, subject to legal or contractual restrictions and reasonable notice, by e-mailing us sales@valleylodge.co.za, using ‘Unsubscribe’ as the subject line, and providing us sufficient personal identifiers so we can act effectively on your request.

    Website Usage and Privacy Information In accordance with some of Google’s recent compulsory policies, we herewith inform you that we might be tracking your cookies as our web site / company is currently undertaking Google AdWords remarketing of any other Google AdWords feature that tracks such cookies.
